Docs/Merchants/Rewards Program
Create and manage rewards
A reward is a way for customers to earn in your loyalty program: they complete an action — place an order, refer a friend, leave a review — and Toki grants what you chose, like points, store credit, or a discount. You create and manage all of them from one place in the merchant portal. You'll sometimes see rewards called activities in the portal — they're the same thing.
Create a reward
- In the Toki merchant portal, open Loyalty.
- In the Ways to Earn section, click Add new activity.
- Pick an activity type from the catalog. Types are grouped by category, with a short description under each one.
- Set up the reward (see the sections below).
- Set Status to Active and click Save.
The catalog covers a wide range of actions: purchases and spend milestones, referrals, social actions on Instagram, TikTok, Facebook, YouTube, and Pinterest, product reviews, newsletter and SMS signups, quizzes, polls, and surveys, birthdays and loyalty anniversaries, QR code scans, receipt uploads, spin wheels, lotteries, charity donations, redeem codes, and challenges that combine several activities.
A couple of things you may see in the catalog:
- Some types work through another app (for example, review platforms like Judge.me, Loox, Okendo, Yotpo, Stamped, or Reviews.io, and marketing tools like Klaviyo or Postscript). The catalog shows an Install integration link when a type needs one — install it first, then create the reward.
- Some types are available on paid plans. The catalog links to your billing page where you can upgrade.
Set up the reward
The reward page is organized into cards. Here's what each one controls:
| Card | What it controls |
|---|---|
| Name and details | The reward's name, plus an optional description, image, and icon image shown to customers in the wallet and on-site components. |
| Reward | What customers get when they complete the activity. |
| Status | Active (live for customers) or Draft (keep it here while you set things up). |
| Rules | The activity's parameters. These depend on the activity type. |
| Reward Rules | Different rewards for different customer segments. |
| Integrations | An Alias field that identifies this reward in integrations. |
| Sharing | Link, share text, and QR code settings for referral, social share, and QR code rewards. |
| Approval | Whether completions are approved automatically or reviewed by you. |
| Limits | How many times a customer can complete the activity. |
| Scheduling | When the activity is available. |
When you change anything, a save bar appears at the top of the page. Click Save to apply your changes, or Discard to undo them. If you try to leave with unsaved changes, Toki asks you to confirm first.
Rules
Each activity type has its own rules. A few examples:
- Purchases — reward purchases of any product, only specific products, or only specific collections. You can also point the activity's Complete button to a specific Collection Page URL. If you run more than one shop with Toki, you can turn on Reward a purchase in another shop.
- Reviews — scope rewards to specific products or collections, set a Minimum review length, and choose to reward only the first approved review for each product.
- Based on spend — set the Spend amount a customer needs to reach, whether it's One time or Recurring, and the Start Date from which purchases count.
- Birthday — choose the Eligibility Period: on the customer's birthday, in their birthday month, or a set number of days before their birthday. You can also choose whether to collect the birth year.
- Redeem code — set usage limits per code and per customer, then manage your codes after the reward is created.
Reward rules and segments
You can give different customers different rewards for the same activity:
- In the Reward Rules card, click New rule.
- Under Segment for selected rule, pick the customer segment that should get this version of the reward. Leave it empty to apply the rule to everyone.
- With more than one rule, click Manage to reorder them by dragging. The rule lowest in the list has the highest priority.
Sharing
Referral, social share, and QR code rewards have a Sharing card:
| Setting | What it does |
|---|---|
| Referral Link | Replace the default referral link with your own. Toki adds the required parameters automatically. |
| Hide UTM parameters | Leave utm_source, utm_medium, and utm_campaign off generated referral links. |
| Share Text | Suggested text customers can share along with their link. |
| Hide QR code | Show a share button in the wallet instead of the QR code. |
| Share Link | Use a custom link behind the QR code. Leave empty for the default. |
| Download QR Code | Save the QR code as an image to print or share anywhere. |
Approval
In the Approval card, turn on Automatically approve the activity to grant rewards as soon as customers complete the action. Turn it off to review each completion yourself — pending submissions appear under Approvals on the Rewards page. You can also turn on Prevent re-submissions to stop a customer from resubmitting after you deny their completion.
Some activity types — like purchases, subscriptions, birthdays, anniversaries, quizzes, and polls — are always approved automatically, so they don't show this option.
Limits
In the Limits card, choose how many times each customer can complete the activity:
| Option | What it does |
|---|---|
| Unlimited | No cap. |
| Only a few times in total | A fixed number of completions per customer. |
| Few times per day / week / month | A recurring cap. For weekly and monthly caps, choose whether the counter resets a set time after the first completion or on a specific day. |
| Custom | Your own period, in days, months, or years. |
Activity types that can only happen once per customer — like joining the rewards program — handle this for you and don't show limit settings.
Scheduling
In the Scheduling card:
- Start date — make the reward available immediately, or pick a date.
- End date — keep it available forever, or pick a date.
- Enable time windows — restrict completions to specific days and times, for example weekends only.
- Birthday rewards also have a Completion hour — the UTC hour when birthday rewards are sent each day.
If an Active reward's schedule hasn't started yet or has already ended, an Attention badge appears next to its status so you can spot it at a glance.
Manage your rewards
The Ways to Earn section on the Loyalty page shows your first few activities — click Manage all activities under the list to open the Rewards page. It lists every reward with its status, type, what it grants, its completion limit, and related challenges, and has its own Create reward button. Use the All, Active, and Draft tabs or the search field to find a reward, and click a row to open it.
From here you can also:
- Duplicate — click the ⋯ menu on a row and choose Duplicate to start a new reward from a copy of an existing one.
- Approvals — open submissions waiting for your review. A counter on the button shows how many are pending.
- Delete — open the reward, click Delete, and confirm. Deleting can't be undone.
Quiz, poll, and survey rewards have two extra buttons on their page: Show results to see customer responses and Export results to download them.
