Account and merchant settings

The Settings page holds the details that sit above your loyalty program: who you are, how your business is named in emails and referral links, and which email notifications your team receives. It is also where you reset store credit balances and copy your merchant ID when you chat with support.

Open the page

  1. In the Toki app, open Settings.
  2. Pick a tab: Account, Merchant, Team, or Cart Validation Rules.

This article covers the Account and Merchant tabs. The Team tab is covered in Team and roles, and the Cart Validation Rules tab in Cart validation rules.

On both tabs, a save bar appears at the top of the page as soon as you change something. Click Save to keep your changes or Discard to undo them.

Account: your personal profile

The Account tab is about you, the person signed in. Your name and profile picture are also what customers see next to the messages you post in your communities (see Chatting with customers). Edit the fields under Personal Information:

FieldNotes
First nameRequired.
Last nameRequired.
Phone Number (optional)Enter the number with its country code, for example +1 (555) 555 5555. A number without a country code is treated as a US number.
Profile PictureDrop an image into the upload area, or click it to pick a file. To remove the current picture, click Delete image.

Click Save. A Profile updated message confirms the change.

Merchant: your business details

The Merchant tab applies to your whole store and everyone on your team. The Merchant Settings card has three fields:

FieldWhat Toki uses it for
Merchant NameRequired. The name of your business. Toki uses it in the emails it sends on your behalf.
Shop NameThe name of your shop.
Public DomainYour storefront domain, such as yourdomain.com. Toki uses it in referral links and other links to your store. If you leave it empty, Toki uses your store's .myshopify.com address instead and shows that address in the field.

Notification settings

The Notification Settings card on the Merchant tab controls the emails Toki sends to your team. There are four kinds of notifications, each on its own tab. Set up each one separately.

TabYou get emails about
ApprovalNew approvals waiting for your attention.
Activity SubmissionActivities customers have submitted, with any status.
Community PostsNew posts in your communities. Use the Channels field to limit this to specific channels, or leave it as all.
Reward CreatedRewards your customers earn. Use the Rewards field to limit this to specific rewards, or leave it as all.

Approval notifications are on by default, sent as a daily summary. The other three are off until you turn them on.

Turn a notification on or off

  1. Open the tab for the notification you want to change.
  2. Check or clear Enabled.
  3. Click Save.

Choose how often emails go out

Under Schedule, pick a Type:

TypeWhen the email is sent
DailyOne summary a day. For Approval, it counts everything still waiting for your approval. For Activity Submission, it covers the last 24 hours.
WeeklyOne summary a week. For Approval, it counts everything still waiting for your approval. For Activity Submission, it covers the last 7 days.
LiveAs soon as each event happens.

Summaries only go out when there is something to report.

Community Posts and Reward Created notifications are always sent live, on every store, so their schedule can't be changed.

Choose who receives the emails

Each notification has its own List of recipients.

  1. Under Add recipient, type an email address.
  2. Click Add. The address appears in the list.
  3. Click Save.

To remove an address, click the trash icon next to it. A list always keeps at least one address, so the trash icon is unavailable when only one is left. Each address can be added once, and addresses are stored in lowercase.

Until you add your own recipients, each list holds the email address of the first person who joined your Toki team, usually whoever installed Toki, and that is who receives the emails.

Reset store credit balances

Use the Store credit maintenance card when you want to zero out customers' balances for one or more of your store credits. For example, you might reset a store credit at the end of every year so unused credit expires. To learn how store credits work, see Store credits.

Click Delete All Store Credits to open the tool. It has three tabs: New Purge, Scheduled, and History.

Run or schedule a reset

On the New Purge tab:

  1. Under Select store credits to reset, check at least one store credit.
  2. Optionally, open Select segments (optional) and check the segments whose customers should be affected. If you don't pick any, all customers are affected. To set up segments, see Segments.
  3. Under Schedule reset (optional), pick a Schedule type (see the table below) and, if you want the reset to run later, a Date and Time. Times are in your local time zone.
  4. Optionally, type a Reason (optional). If you leave it blank, the reason is recorded as "Store credit has expired".
  5. Read the summary at the bottom. It spells out which store credits and customers are affected and when the reset will run.
  6. Click Confirm.
Schedule typeWhat happens
One-timeRuns once. Leave Date empty to run immediately. If you pick a date but no time, it runs at 00:00.
LimitedRuns a set number of times. Pick a start Date, how often to repeat (Repeat every 1 or more Month, Quarter, or Year), and the Number of executions (at least 2, counting the first run).
RecurringRepeats on the interval you choose until you cancel it. A start Date is required.

The dialog tells you exactly what the reset does before you confirm: it sets the balance to 0 for the selected store credits, for all customers or only for customers in the segments you chose. Each reset is added to the customer's transaction history along with the reason you entered. Nothing is deleted: the store credit itself and every customer's earlier transactions stay in place. Wallet passes and segments that depend on the balance update after the reset.

If you select several store credits, Toki creates one job for each of them, so each store credit appears as its own entry on the Scheduled and History tabs and can be cancelled on its own.

Review scheduled and past resets

After you confirm, a message tells you the job was created and points you to the Scheduled tab. Each job shows the store credit, its status, the scheduled date, the reason, how many segments were selected, and, for repeating jobs, how often it repeats and which run is next (for example, "execution 2 of 3").

  • Scheduled lists jobs that haven't run yet, marked Scheduled. To stop one, click Cancel next to it and confirm. Cancelling a repeating job stops all of its future runs.
  • History lists runs that are Processing, Completed, Failed, or Canceled. If a run didn't complete, the entry shows why.

Find your merchant ID

Your merchant ID appears in small gray text in the bottom-right corner of the Merchant tab. Click it to copy it. An ID copied message confirms the copy. Support may ask for this ID to find your account quickly.
