Add an activity completion by hand

Sometimes a member did the thing, but the completion did not land in Toki. They left the review, placed the order, or referred a friend, and now they are asking where their reward is. From the member's profile you can add the completion yourself. Toki records it like any other completion and issues the reward you pick, so the member gets what they earned and their history stays accurate.

Open the Add activity completion page

  1. In the Toki app, click Members in the left navigation.
  2. Click the member's row to open their profile. See Members directory if you need to search or filter.
  3. On the Loyalty tab, find the Recent activities table and click the + icon in its top right. The Add activity completion page opens.

Create the completion

  1. In Activity, pick the activity the member completed. Type to search. Activities in Draft status are listed too, marked with (Draft) after their name.
  2. Choose the reward:
    • To use one of the activity's existing rules, pick it in Reward rule.
    • To give something different this one time, check Use a custom reward rule and set up the reward in the editor that appears. See Choose the reward below.
  3. Click Create completion.

Toki confirms with Activity completion created and takes you back to the member's profile. The new completion appears in Recent activities.

To leave without creating anything, click Cancel or Back.

Choose the reward

Reward ruleIssues one of the reward rules already set up on the activity. Rules are listed by the name customers see in the wallet. A rule without a name shows as its position and type, for example Rule 1 — fixed. The first rule is selected for you.
Use a custom reward ruleReplaces the dropdown with a reward editor for a one-off rule that applies to this completion only. The activity itself is not changed.

The custom reward editor is the same one you use in the Reward card when setting up an activity. It starts as a fixed amount of points. Change the Type to any reward the activity supports and fill in its settings. See Reward types for what each type does.

Toki checks the custom rule before creating the completion. If something is empty or invalid, a message at the top of the page tells you what to fix, such as Configure a valid custom reward rule. Nothing is issued until the rule passes.

What Toki checks

A warning on the page spells it out: This creates a real activity completion and issues the selected reward. Activity status and schedule checks are skipped; other activity rules still apply.

In practice:

  • The reward is issued immediately, the same way it would be if the member completed the activity on their own.
  • The activity can be in Draft status, or outside its Start date and End date, and the completion still goes through. This lets you credit a member for an activity you have since paused or retired.
  • The activity's other rules are still applied.

If Toki cannot create the completion, a red message at the top of the page tells you why, and no reward is issued.

Undo a completion

If you added a completion by mistake, remove it from the member's profile:

  1. On the Loyalty tab, tick the completion in Recent activities.
  2. Click Delete selected, then Delete to confirm.

This deletes only the completion record. The member keeps the reward. To take back points, use Adjust a member's balance.
