Scheduled campaigns
An On Schedule campaign sends your message to its whole audience at a date and time you pick, instead of reacting to something a customer does. One campaign can hold several sends, so you can plan a launch reminder for Monday and a follow-up for Friday without building the campaign twice. Each send shows its own status, and you can move or cancel it up until the moment it goes out.
In the Toki app, each scheduled send is called an execution. This article uses "send" and "execution" for the same thing.
Create a scheduled campaign
- In the Toki app, click Campaigns in the left navigation.
- Click Create campaign.
- Under Basic Information, enter a Campaign name and set Campaign type to On Schedule. The Scheduling section appears on the right.
- In Segment, pick the segment that should receive the message, or leave it empty to send to all your customers. See Campaign audience.
- Under Notification Settings, turn on the channels you want and write the text for each. See Notification channels.
- Under Scheduling, click Add execution and set the Scheduled date & time. Repeat for every send you want.
- Set Status to Active if the campaign should go live now, or leave it as Draft to finish it later.
- Click Save.
Toki confirms with "Campaign created" and opens the saved campaign.
Add sends
Every send has its own date and time. To add one:
- Open the campaign and click Add execution in the Scheduling section.
- Toki adds a send set to one hour from now. Change the Scheduled date & time to the moment you want, down to the minute.
- Click Save.
A few things to know:
- The time you pick is in your local time zone: the one your device uses. The field shows which time zone it is, right next to the date.
- Pick a date and time in the future.
- Give each send in a campaign its own date and time. Toki keeps one send per date and time in a campaign, so if you add two at exactly the same moment, only one stays after you save.
- You can add as many sends as you need.
Set the campaign live
Sends only go out from an Active campaign. While the campaign is a Draft, the Scheduling section shows the note "Scheduling will be activated once the campaign status is set to Active." Sends you add to a draft are saved with the campaign and wait, without a status badge, until you activate it.
To go live:
- Open the campaign.
- In the Status box, pick Active.
- Click Save.
Each send is now queued, and a Scheduled badge appears above its date. At the scheduled moment, Toki sends the message to everyone in the campaign's audience at that time.
Follow the status of each send
Once the campaign is active, every send shows a badge in the Scheduling section.
| Badge | What it means |
|---|---|
| Scheduled | The send is queued and waiting for its date and time. You can still change the time or cancel it. |
| Processing | The send is going out right now. |
| Processed | The send went out. With a large audience, Toki delivers in batches, so the last messages can arrive a little after the badge changes. |
| Failed | Something stopped this send. Chat with us and we'll sort it out with you. |
| Canceled | The send was canceled, either by you or because the campaign was set back to Draft. It stays in the list for your records. |
When you open a campaign, sends that are Processing come first, then Scheduled, then Processed, then Canceled. Within each group, the earliest date is at the top. The date and time of a send can only be changed while it is Scheduled; for every other status, the field is locked.
Sends without a badge have not been queued yet: either you haven't saved the campaign, or the campaign is still a Draft.
Reschedule a send
- Open the campaign.
- In the Scheduling section, find the send with the Scheduled badge you want to move.
- Change its Scheduled date & time.
- Click Save.
The send now waits for the new time.
Cancel a send
- Open the campaign.
- In the Scheduling section, click Cancel on the send.
- Click Save.
What happens depends on whether the send was already saved:
- A send you added but haven't saved yet disappears from the list.
- A saved Scheduled send switches to Canceled right away and its date locks. Click Save to confirm, or Discard in the save bar to keep it scheduled after all.
Cancel is only shown while a send is Scheduled (or not yet saved). Once a send is Processing or Processed, it has gone out.
Edit the message or audience after scheduling
You can keep editing an active campaign after its sends are queued. Change the text under Notification Settings, or pick a different Segment, and click Save. Every send that is still Scheduled goes out with the campaign as it was last saved.

Pause a scheduled campaign
Setting an active On Schedule campaign back to Draft cancels every send that hasn't gone out yet. Those sends show Canceled and stay that way, even after you set the campaign to Active again.
To resume, set Status back to Active, click Add execution to add fresh sends, and click Save.
