Import members

Moving to Toki from another loyalty app? You can bring your existing customers and their point balances with you in one CSV upload. Toki creates new members from the file, updates the ones you already have the way you choose, and shows you the progress while it works.

Prepare your CSV file

Toki expects specific column names, so start from the template.

  1. In the Toki app, click Members in the left navigation.
  2. Click Import members at the top of the page. The Customers Import page opens.
  3. Under CSV File, click Download template file here. You get a CSV with the right columns and one example row.
  4. Fill it with your customers, one per row, and save it as a CSV file. Keep the column names exactly as they are in the template.

Optional columns can be left empty or left out of the file.

Import the file

  1. On the Customers Import page, drag your CSV into the upload area under CSV File, or click the area to pick the file. The upload accepts one CSV file at a time. To swap it, drop another file and it replaces the first.

  2. Check the column list that appears below the upload area. Expected Columns shows what Toki looks for, Detected Columns shows what it found in your file:

    ?A column in your file that is not part of the template. Handy for spotting typos.

    If a required column is not found, Toki shows "Not all of the required columns are found! Please, check that your columns are exactly the same as in the template." Fix the file and upload it again before you continue.

  3. Under What do you want to do with existing Toki members that are also in your file?, choose Nothing, Add, or Replace. See the table below.

  4. Under Which description should we use for the balance transaction (visible to customers)?, type a short description, for example "Balance transferred from our previous rewards program". Customers see this text in their wallet.

  5. Under What was the conversion value of your past account? (X points = $1), enter how many points equaled $1 in your previous program. If customers needed 50 points for a $1 discount, enter 50. This tells Toki what your old points were worth.

  6. Under What is the source of your past account?, name the platform you are moving from, for example Smile.io or Yotpo. This one is optional.

  7. Click Start Import.

Toki confirms with Import started. The import runs in the background, so you don't need to stay on the page.

Choose what happens to existing members

Everyone in your file who is not in Toki yet is imported as a new member. The choice you make in step 3 only affects members who are already in Toki.

ReplaceFor members already in Toki, replaces their current balance with the value from the file.

Track the import

The list of previous imports sits next to the form and updates automatically every few seconds. Each import shows:

  • The date and time it started, with an In progress or Completed badge.
  • A progress bar with Total and Completed counts, plus a Failed count if any rows failed.
  • The settings you used: Strategy, Conversion, Description, and Source.

Click an import to open Import details. The Details tab shows the import ID and, under Transfers, how many balance transfers the import made (Added).

Fix rows that failed

If a row can't be imported, Toki keeps it so you can correct it and try again.

  1. Click the import in the previous imports list.
  2. Open the Failed tab. Each failed row shows the reason it failed.
  3. Click Show on a row to see its fields. Edit any value directly.
  4. Click Retry. Toki imports the row again with your changes and updates the counts.

Undo an import

If an import went out with the wrong conversion value or the wrong option for existing members, you can roll back its balance transfers.

  1. Click the import in the previous imports list.
  2. On the Details tab, click Rollback next to Transfers.
  3. Confirm.

Toki removes every balance transfer from that import and recalculates each member's balance as if the import had never happened. The members themselves stay in Toki. When it's done, the details show Transfers have been rolled back and a Rolled back count.

Who can import

Team members need both the Members: Read and Members: Write permissions to open the import page.
