Members directory

The Members page lists everyone in your loyalty program. Each row shows who the member is, how many points they hold, and which membership tier they are in. You can search and filter the list, export it, and add members by hand.

Open the Members page

  1. In the Toki app, click Members in the left navigation.
  2. Above the table, Found members tells you how many members match your current search and filters.
  3. Click any row to open that member's profile.

Use the arrows below the table to move through the pages.

What each column shows

ColumnWhat it shows
EmailThe member's email address.
NameThe member's first and last name.
Your points name (for example Points)The member's points balance, followed by its value in your store currency in parentheses — for example "250 ($2.50)". Toki converts points to currency using your conversion rate.
MembershipThe member's membership tier.
Recent InteractionThe member's most recent interaction with your program.
Recent Sign-InThe date of the member's most recent sign-in.
AddedThe date the member was added to your program.
ShopThe store the member belongs to. Shown only when View members across all shops is turned on (see below).

The points column is named after your points. If you call them "Stars", the column is called Stars. See How points work for how points and conversion rates fit together.

Search and sort

Use the search box at the top of the table to find a member. Results update as you type.

To change the order, open the sort menu and pick one of:

Sort optionWhat it does
Recent Sign-InOrders members by when they last signed in. Choose Ascending or Descending.
DateOrders members by when they were added. Choose Ascending or Descending.

Filter the list

Click the filter button next to the search box, then pick a filter. Each one you apply shows as a tag above the table. Remove a tag to drop that filter, or clear them all at once.

MembershipShows members in the membership you pick. Start typing to find it in the list.
SegmentShows members in the segment you pick.
DiscountsChoose Who used discounts to see everyone who has used a discount. Choose Specific discount and enter the Code to see who used that code.
BirthdayPick a date range within the current year to see members whose birthday falls in it.
Referral codeEnter a referral Code to see the members linked to it.
Joined loyalty programShows members who joined your loyalty program. Set a Since date to see only those who joined on or after it, or leave it as Over all time.
SocialsChoose Email exists to see members with an email address on file, or Phone exists for members with a phone number.
In payment retry processShows members whose payment is currently being retried.
Subscription typeShows members by where their paid membership is billed. Shopify for memberships billed through Shopify. Fake subscription for memberships you granted without charging the customer. Test subscription for test memberships with no charges. Ko-fi appears when your Ko-fi integration is available.

The page address updates as you search and filter. Bookmark it to come back to the same view, or share the link with a teammate so they see the same list.

See members across all your stores

If Toki is connected to more than one of your stores, a View members across all shops checkbox appears above the table.

  • Leave it off to see members from the current store only.
  • Turn it on to see members from every connected store. A Shop column is added so you can tell which store each member belongs to.

Add a member by hand

You can create a member profile yourself — for example for a customer who signed up in person.

  1. Click Add member in the top right of the Members page.
  2. In the Add Profile dialog, enter the member's Email. This is required.
  3. Add a First name and Last name if you have them.
  4. Click Add Profile.

Toki creates the profile and opens it right away. If the email is empty or not in a valid format, a message under the field tells you what to fix.

Export members

  1. Apply any search or filters you want. The export follows the view you're looking at, so you can export just one segment or one membership tier.
  2. Click Export members at the top of the page.

A CSV file downloads to your computer, and a Members exported message confirms it's done.

Import members and bulk operations

Two more actions live at the top of the Members page:

  • Import members opens the Customers Import page, where you upload a CSV file of your existing customers and their point balances — useful when you're moving from another loyalty app.
  • Bulk operations opens Bulk Add/Subtract Points, where you add or subtract points for many members at once. It works on the members matching the filters you have applied.
