Automate the follow-up to everything in your program
Pick a trigger, branch on conditions, and let Toki send the email, push the wallet notification, adjust points or grant the reward — for every customer it applies to.
On paid plans, from $49/month · 14-day free trial →Loyalty programs rarely fail at the launch. They fail in the follow-up: the "welcome to Gold" email nobody set up, the expiring points nobody mentioned, the lapsed member nobody nudged. Workflows make the follow-up automatic — you build it once, switch it on, and it runs for every customer it applies to.
Trigger, condition, action
Every workflow is drawn on a visual canvas from three kinds of steps:
- A trigger — the moment that starts it, from 40+ program events: points earned, a tier unlocked, a paid membership renewal that failed, a review created, a survey answered, a birthday
- Conditions — checks that split the workflow into a true and a false path, by points amount, tier or another detail of the run
- Actions — what Toki does next
A customer unlocks a tier and gets a congratulations email. A customer earns points on a big order and gets a bonus reward. A renewal payment fails and the member gets a reminder before their perks lapse. One canvas, no code.
Actions on the whole program
Workflows don't just send messages; they change the program itself:
- Messages — send an email or a push notification to the member's wallet pass
- Balances and rewards — credit or debit points, grant a reward, create a gift card, hand out lottery tickets
- Memberships — grant, extend, cancel or reactivate a paid membership
- The program — update a segment, switch an activity on or off, request a review
- Your own systems — wait, call an HTTP endpoint, run custom code, send an event to your tools, or run a Shopify mutation
Run it on your calendar
Timers fire once at a date you set or repeatedly at an interval, and start any workflow. Pair one with the Change Activity Status action and the program runs on schedule: double points every Friday at 6pm and off on Sunday night, a monthly balance reminder, a flash promotion set up weeks ahead. More mechanics like this are on the gamification page.
Messages without another tool
Campaigns cover the simple case: a wallet push, an email or a wallet notification, sent automatically when a customer does something — earns points, unlocks a membership, refers a friend — or on a schedule you set, to everyone or a segment. Test sends go to the customers you pick before anything goes live. And everything still flows to your email and SMS stack: Toki sends events and member properties to Klaviyo, Attentive and Postscript, and Shopify Flow can complete Toki activities.
Ship automation safely
New workflows start as drafts. Test one on a customer you choose before switching it on, read every run in the execution history, export a workflow to reuse it, and check every outgoing webhook in the webhook logs. Switching a workflow back to draft pauses it without deleting it. For what to automate first, our guides to post-purchase emails and referral email templates are good starting points.

Frequently asked questions
What can trigger a workflow?
More than 40 program events: points earned or spent, rewards and redemptions, activity and challenge progress, a tier or segment gained or lost, every step of a paid membership (subscribed, renewed, payment failed, cancelled), referrals, account creation, birthdays, wishlist changes, processed orders, reviews, gift card deliveries — plus timers and incoming webhooks.
What can a workflow do?
Send an email or a wallet push notification, credit or debit points, grant a reward, create a gift card, grant lottery tickets, request a review, update a segment, switch an activity on or off, grant, extend, cancel or reactivate a paid membership, wait, or call your own systems with an HTTP request, custom code or a Shopify mutation.
Can I test a workflow before it goes live?
Yes. New workflows start as drafts, and the Test button runs one for a customer you pick — even in draft. Every run shows up in the execution history, and workflows can be exported and imported.
How are workflows different from campaigns?
Campaigns send messages — a wallet push, an email or a wallet notification — automatically when a customer does something, or on a schedule, to everyone or a segment. Workflows add branching conditions and actions on balances, rewards and memberships.
Which plans include workflows?
Workflows come with Toki's paid plans, starting with Pay as you Go at $49/month with a 14-day free trial.
